Safeguarding Policy

These Safeguarding policy govern safeguarding rules for Humans in Games Ltd, a company limited by guarantee registered in England and Wales (Company No. 16929971).
1. Purpose of This Policy
Humans in Games Ltd is committed to providing a safe, inclusive, and respectful environment for all members, participants, and contributors.
This Safeguarding Policy sets out how we protect:
children and young people,
vulnerable individuals, and
all participants engaging with our activities, whether online or in person.
2. Scope
This policy applies to:
members and prospective members,
participants in events, programmes, learning, or bootcamps,
volunteers, facilitators, mentors, and contributors,
community spaces including online platforms (e.g. Discord),
all Humans in Games activities worldwide.
3. Age Policy
Membership of Humans in Games Ltd is available to individuals aged 16 or over.
Individuals aged 16–17 may participate in activities subject to this policy and any additional safeguards.
Certain activities, events, programmes, or community spaces may be restricted to individuals aged 18 or over.
Where required by law, parental or guardian consent is obtained for under-18s participating in paid programmes or recurring activities.
4. Safeguarding Principles
Humans in Games operates in line with the following principles:
The welfare of participants is paramount
Everyone has the right to feel safe and respected
Safeguarding is a shared responsibility
Concerns are taken seriously and acted upon appropriately
5. Online Safety and Community Spaces
As a primarily online organisation, Humans in Games places particular emphasis on digital safeguarding.
Measures include:
clear Codes of Conduct for community spaces,
moderation of official platforms (including Discord),
zero tolerance for harassment, bullying, discrimination, or exploitation,
age-appropriate access to spaces and activities where required.
Humans in Games does not take responsibility for safeguarding on third-party platforms outside its control, but will take reasonable steps to respond to concerns arising from participation in its activities.
6. Learning, Bootcamps, and Programmes
Where Humans in Games delivers or facilitates learning, bootcamps, workshops, mentoring, or educational programmes:
appropriate behaviour standards apply to all facilitators and participants,
additional safeguarding measures may be introduced depending on the nature of the programme,
programme-specific rules and reporting mechanisms may apply,
participation may be refused or removed if safeguarding standards are breached.
7. Expected Behaviour
All participants are expected to:
treat others with dignity and respect,
behave professionally and appropriately,
comply with the Code of Conduct and this policy,
avoid any behaviour that could place others at risk.
Abuse, harassment, grooming, discrimination, or any form of exploitation will not be tolerated.
8. Reporting Safeguarding Concerns
Anyone who has a safeguarding concern relating to Humans in Games activities is encouraged to report it promptly.
Concerns may include:
inappropriate behaviour,
harassment or abuse,
safeguarding risks involving under-18s or vulnerable individuals.

All concerns will be handled sensitively, proportionately, and in line with applicable laws.
9. Response to Concerns
Humans in Games Ltd will:
assess concerns on a case-by-case basis,
take appropriate action, which may include warnings, suspension, or removal from activities,
involve relevant authorities where required by law,
prioritise the safety and wellbeing of those affected.
10. Confidentiality and Data Protection
Safeguarding information is handled with care and confidentiality.
Personal data relating to safeguarding is processed in accordance with:
the UK General Data Protection Regulation (UK GDPR),
the Data Protection Act 2018, and
the Humans in Games Privacy Policy.
Information will only be shared where necessary to protect individuals or comply with legal obligations.
11. Review of This Policy
This Safeguarding Policy is reviewed periodically and may be updated to reflect:
changes in law or guidance,
organisational activities,
emerging safeguarding risks.
The most current version will always be available on the Humans in Games website.
